Damage Waiver Charge (DWC)

The DWC protects both parties. It is 12% of the total rental rate of your contract. The DWC relieves the customer of any accidental damage to the rented item(s) within your contract and for loss due to fire, collision, windstorm, upset and riot. We exclude from this waiver, however, any loss or damage due to theft, burglary, misuse or abuse, theft by conversion, intentional damage, mysterious disappearance or other loss due to your failure to care for the rented item(s). This is a non-negotiable and non-refundable fee.


You will be required to sign some or all of these documents before Reservation is confirmed.


Rush Orders

Orders place within 48 hours of delivery will charged a surcharge of 25% of the total order (minimum $25). Orders placed within 5 business days of delivery will be charged a 15% surcharge. Orders placed within 10 business days of delivery will be charged a 10% surcharge.


Reservations/Cancellations

We require a 50% non-refundable deposit to reserve rental items. The remaining 50% is due 7 days prior to the event. Orders under $500 will be required to be paid in full (no deposit). A credit card number is required to make the reservation but final payment can be made by several methods. There is a 3% processing fee charged on credit cards. We will contact you for final payment. If reservations are cancelled, deposit will be kept as a non-refundable store credit only, to be used within 1 year.  No exceptions for COVID 19. Changes to the reservation are permited up to 7 days prior to event.


Change Orders

We allow changes to be made to a reservation up to a week from your event. If orders are changed beyond that point the customer will be charge a “Change Order Fee”. Fee may vary depending upon the amount of the change. Items removed from order will be charged at full rental value.


Delivery/Pick Up

Chief Rental charges delivery fees based on the location and distance of the event from our location in Hermitage, TN. We have a minimum order of $250 for rental items before we will deliver. If deliveries/pick up’s are not between regular business hours of M-S 9:00AM – 5:00PM – an Overtime Rate will be applied. Sunday’s are charged at overtime rate (except Inflatables). Additional charges will be applied if the delivery is not on the ground floor. Delivery will be made to porch, patio or inside garage. We will not leave tables or chairs outside in bad weather conditions. Chief Rental does not deliver inside of a residential home. Many of the event venues have additional restrictions that vendors are asked to follow – for this reason, we require a Venue Fee of $250

Chief Rental has a minimum order of $150 for rental items on Customer Pick-up’s.


Set Up/Take Down

Many of our rental items have labor for set up and breakdown included in the rental cost. Additional charges will be applied when additional labor is needed. Tent set up is charged based on the size of the tent and number of people it takes to set up. To set up and take down tables is $2.00 per table. To set up and take down chairs is $.50 each. Unless customer has paid for set up and take down, all tables and chairs must be stacked prior to pick up or customer will be charged $1.00 per item to re-stack. Chief Rental does not deliver inside of a residential home.


Weather Notice

Tents and Inflatables are not intended to be used in severe weather. The best way to keep your guests safe is to be prepared for inclement weather and have an evacuation plan or plan B. Chief Rental reserves the right to cancel the delivery if they feel there is a danger to the participants. You should evacuate the tent or inflatable if: There is lightning or thunder in the area; Dark clouds on the horizon; A severe weather alert; The wind is over 10 miles an hour; Leaves, and small branches begin to fall off trees; Tent begins to wobble or sway; Heavy rain – Inflatables become very slippery in rain; Hail, sleet, snow or ice.

Inflatables/Bounce Houses/Sides/Dunk Tank

- Prohibit excessive roughhousing by occupants.
- Adult supervision required at all times.
- Observe maximum capacity rules posted on the side of each inflatable.
- Remove shoes before entering ride.
- Do not inflate in high winds, rain or lightning.
- Make sure the area you are setting up the inflatable is large enough.
- Inflatables must be set up on level area and free of overhead tree branches or wires.
- There must be access to electrical outlets and water within 100 ft of the inflatable.
- If generator is required there will be an additional charge.
- If setting up inside a gym – we must be able to get through double doors with no center bar.
- We must be able to stake down the inflatable and if that is not possible we must be notified BEFORE delivery to bring weights (this is an additional charge).
- We must know if our truck is able to drive up to the spot where the inflatable is being set up or if not we must be notified to bring a dolly.

INFLATABLES ARE RENTED IN 8 HOUR INTERVALS.

If you are unsure of any of these conditions, we will be happy to send someone to your event site to pre-inspect before reservation is made.


Tents

All our tents are professionally installed and disassembled by the Chief Rental employees. Customers are forbidden to handle the tents due to liability reasons. Tents will be safely staked to the ground once assembled – if stakes are prohibited, please inform us so we can provide weights (these are an additional cost). Customer is responsible for properly marking underground utilities (gas, water, electrical, sprinkler) prior to installations of the staked tents. If ground is not properly marked, we are not responsible for any damages that may be caused by staking. Stakes are driven up to 4 feet deep. Tent “Sides” are not included in the price – they are an additional charge. CLEAR TENT TOPS: we will not install a clear tent top if the temperature is over 82 degrees or if the weather forecast calls for heavy rain. If a permit is required (usually at public venues in Davidson County) there will be an additional charge of $200 to the customer. Fire extinguishers may also be required and will be added to reservation if needed.

Dance Floor

Dance Floors are not designed to be set up on grass. Chief Rental will put a sub floor down first but we cannot guarantee it will be level and may have high or low spots. Once floor is installed by Chief Rental, IT MUST NOT BE MOVED BY THE CUSTOMER. A $250.00 fine will be added to the reservation if floor is moved or disturbed. If the Customer would like the floor moved after it is installed, it will cost an addition $150


Dinnerware/Glassware/Linens

Any dinnerware, glasses and flatware rented must be rinsed off and placed in the containers they were delivered in before returning to Chief Rental. There will be a $.50 per piece charge for all items not rinsed. Linens: Once used, table clothes/napkins must be placed in the bags provided –do NOT put in plastic trash bags. They may mold or mildew or become confused with trash and be thrown away. It is not recommended that red wine or sauces be served when using white or ivory clothes. Linens lost, torn, burned, soiled or those that cannot be cleaned are subject to a replacement fee equal to 4 times the rental cost in addition to the rental charge.


Non Profit Organizations/Donation Policy

As an event production company in Nashville, a good majority of our customers are non-profit or charity organizations. Chief Rental tries to keep its profit margins low so we can offer the best rates on rental equipment for all our customers. Because of this practice, we do not offer discounts or donations of our products (unless we are holding a discount promotion). However, if you are a federally recognized 501c3 organization and a regular customer of Chief Rental, we will work within your event budget to the best of our ability.
